1. Overview
AlliedRoster connects graduates of accredited healthcare programs with employers, using a school-verified claim process instead of a self-reported resume alone. This policy explains what information we collect from graduates, schools, and employers; what our verification badge does and does not confirm; and how information moves between these three groups.
This policy applies to alliedroster.com and any AlliedRoster claim link, school application, or employer account.
2. Information we collect
From graduates
- Name, contact information, and a photo, provided when you claim your profile
- Program name, school, and graduation status, provided to us by your school as part of a graduating roster
- Self-reported details you choose to add, such as clinical hours, licensure exam status, work preferences, or a resume
- Account credentials and activity on the platform, such as which employers viewed or contacted you
From schools
- Institutional information submitted during the school application: school name, address, website, administrator name and email, accrediting body, and approval/permit number and supporting document
- Graduating roster data submitted to create claimable profiles, limited to the name and graduation confirmation needed to populate a profile
From employers
- Company and account information, and any searches, filters, or contact activity used to find candidates
Collected automatically
- Standard technical data such as IP address, browser type, device information, and usage analytics, collected via cookies or similar technology
3. What "verified" means — and what it doesn't
Because the scope of a verification badge directly affects how your information is understood by employers, we're explicit about it here as well as on your profile.

AlliedRoster does not publish a school's contact information to employers directly. If an employer wants to confirm anything beyond graduation status, they submit an inquiry through a contact form on the portal, which the school receives and responds to at its own discretion.
4. How we use information
- To create and maintain claimable graduate profiles, and to verify schools before they can submit a roster
- To operate search, matching, and messaging between graduates and employers
- To confirm accreditation details with the issuing body during school review, and to periodically re-check institutional status
- To communicate with you about your account, applications, or roster submissions
- To maintain platform security, prevent fraud, and comply with legal obligations
- To improve the platform, in aggregate or de-identified form where possible
6. Educational records & FERPA
Some information a school submits about a graduate may constitute an education record under the Family Educational Rights and Privacy Act (FERPA). We rely on two independent bases for handling this data lawfully:
- Directory information. Many participating schools designate program completion and degree/certificate conferral as "directory information" under their own FERPA notices, which permits disclosure without individual student consent, subject to the student's right to opt out through the school.
- Graduate consent. Independent of the above, a graduate's verified status is disclosed to an employer only when the graduate affirmatively submits an application to that employer — an action we treat as the graduate's specific consent to that specific disclosure.
We work with participating schools under a written data-handling agreement covering their obligations under FERPA before any roster is accepted. If you're a school administrator with questions about that agreement, contact us at the address below before submitting a roster.
7. Data retention
- Unclaimed profiles: retained for a limited period after a roster is submitted, then deleted if never claimed, consistent with our agreement with the submitting school
- Claimed graduate profiles: retained while your account is active, and for a limited period after deletion for legal and security purposes
- School application records: retained for as long as the school participates, plus a reasonable period afterward for compliance history
- Employer account data: retained while the account is active and for a limited period afterward
8. Your rights & choices
- Access & correction: you can review and update your self-reported profile information at any time; corrections to school-verified data must go through the issuing school
- Deletion: you may request deletion of your account and associated personal information, subject to legal retention requirements
- Unclaimed profile removal: if a profile was created for you but you don't wish to participate, you can request its removal without claiming it
- Communication preferences: you can opt out of non-essential emails at any time
- Regional rights: depending on where you live, you may have additional rights under laws such as the CCPA or GDPR, including the right to know, delete, or limit certain uses of your information

9. Data security
We use administrative, technical, and physical safeguards designed to protect your information, including encryption in transit, access controls, and verification review workflows for schools. No system is completely secure, and we can't guarantee absolute security of information transmitted to us.
10. Children's privacy
AlliedRoster is intended for users who are at least 16 years old, consistent with typical graduate ages for the healthcare programs we support. We do not knowingly collect personal information from children under 13. If we learn we've collected such information, we'll take steps to delete it.
11. Changes to this policy
We may update this policy from time to time. If we make material changes, we'll notify registered users by email or through a notice on the platform before the changes take effect. The "Last updated" date at the top of this page reflects the most recent revision.
